A Word About These Pages

 

Admissions work asks people to share parts of their story they don't share with many others. The pages that follow describe how GradMissions safeguards what you share with us, and the terms under which we offer our services. We have written them to be clear rather than dense, and we welcome questions before, during, or after your engagement.

Note on entity. GradMissions is operated by Zilah LLC, an Oklahoma limited liability company doing business as GradMissions (“GradMissions,” “we,” or “us”). References to GradMissions throughout this document refer to Zilah LLC operating under that trade name.

PART ONE

Privacy Policy

1. In the course of providing services and operating our website, GradMissions collects the following categories of information.

1.1  Information you provide directly. When you inquire about our services, sign up for an account, complete an intake form, or communicate with us, we collect information you choose to share. This may include your name, email address, phone number, mailing address, and academic, testing, professional, or career-related information relevant to the services you are seeking. If you become a Client, we will also collect application materials, drafts, and related documents necessary to deliver our services.

1.2  Payment information. Payments are processed through QuickBooks/Stripe, which is PCI-compliant. We do not store full credit or debit card numbers on our systems. We do retain billing records, invoices, and limited payment metadata as required for tax, accounting, and legal compliance.

1.3  Usage data. When you visit our website, our servers and analytics providers automatically collect certain technical information, including IP address, browser type and version, device identifiers, pages visited, time spent on each page, and referring URLs.

1.4  Cookies and tracking technologies. We use cookies and similar technologies to operate the website, remember your preferences, analyze traffic, and measure the performance of our marketing. You can adjust cookie behavior through your browser settings; disabling certain cookies may affect site functionality.


2. We use the information we collect for the following purposes.

To deliver services. We use Client information to provide admissions coaching, develop application materials, communicate about scheduling and deliverables, and manage Client accounts.

To respond to inquiries. We use contact information to answer questions from prospective Clients, parents, partners, and members of the press.

To operate and improve our website. We use usage data to understand how visitors interact with the site and to make it more useful and reliable.

To communicate updates and offerings. With your consent or as otherwise permitted by law, we may send you updates, educational content, and information about our services. You may opt out of marketing communications at any time using the unsubscribe link included in those messages.

To comply with legal and tax obligations. We retain certain records as required by applicable law, including tax and accounting regulations.

To protect our work and our Clients. We use information to detect and prevent fraud, enforce our Terms of Service, and protect the security of our systems and the integrity of our work product.


3. We do not sell, rent, or trade your personal information. We share information only in the limited circumstances described below.

3.1  Service providers. We share information with trusted vendors who help us operate our business, including our payment processor (QuickBooks/Stripe), our customer relationship management platform (GoHighLevel), our scheduling and communication tools, our cloud storage providers, and our analytics and advertising platforms. These vendors are permitted to use your information only as needed to perform services for us and are required to protect it.

3.2  Within our team. Client information is shared internally with the GradMissions consultants, support staff, and contractors involved in delivering services to that Client. All team members are bound by confidentiality obligations.

3.3  Legal compliance. We may disclose information when required by law, regulation, valid legal process, or governmental request, or when we believe in good faith that disclosure is necessary to protect rights, safety, or property.

3.4  Business transfers. If GradMissions is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will provide notice of any such transfer and any resulting changes to this Privacy Policy.

3.5  With your consent. We may share information for any other purpose disclosed to you and consented to by you.


4. We implement reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, use, alteration, or disclosure. These include access controls on our internal systems, encrypted transmission of payment data through QuickBooks/Stripe's PCI-compliant infrastructure, and restricted access to Client files. No method of electronic transmission or storage is entirely secure, however, and we cannot guarantee absolute security.


5. We retain your information only as long as necessary to fulfill the purposes described in this Policy, to provide ongoing services, or to meet legal, tax, and accounting obligations. Client files are typically retained for the duration of the engagement plus a reasonable period thereafter to support reapplication, follow-up work, or legitimate business needs. When information is no longer needed, we securely delete or anonymize it.


6. Depending on where you live, you may have the following rights regarding the personal information we hold about you.

Access. You may request a copy of the personal information we hold about you.

Correction. You may request that we correct inaccurate or incomplete information.

Deletion. You may request that we delete your personal information, subject to legal and contractual retention obligations.

Portability. Where applicable law provides this right, you may request a copy of your information in a portable format.

Opt-out of marketing. You may unsubscribe from marketing communications at any time using the link in those messages or by contacting us directly.


To exercise any of these rights, please contact us using the information in Section 12. We will respond within the timeframe required by applicable law.


7. If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, the “CCPA”), provides you with the additional rights described below.

7.1  Categories of information collected. In the past twelve months, we have collected the following categories of personal information: identifiers (such as name, email, and phone number), customer records (such as mailing address and payment information), commercial information (such as services purchased), internet or network activity (such as usage data and cookies), professional or education information (such as academic and testing history), and inferences drawn from the foregoing to deliver our services.

7.2  Sources of information. We collect information directly from you, automatically when you use our website, and from our service providers in connection with delivering services.

7.3  Sale or sharing of personal information. We do not sell your personal information for monetary consideration. We may share certain information with advertising and analytics providers in ways that may constitute “sharing” for cross-context behavioral advertising under the CCPA. You have the right to opt out of such sharing by contacting us at the address in Section 12.

7.4  Right to know, delete, correct, and limit. California residents have the right to request access to, deletion of, and correction of personal information we hold, and to limit our use of sensitive personal information. To exercise these rights, contact us using the information in Section 12. We will not discriminate against you for exercising your rights.

7.5  Authorized agents. You may designate an authorized agent to make a request on your behalf. We will require verification of the agent's authority and your identity before processing the request.


8. Residents of certain other states, including Virginia, Colorado, Connecticut, Utah, Oregon, Texas, and Montana, may have rights similar to those described in Section 7 under their respective state privacy laws, including rights of access, correction, deletion, portability, and opt-out of targeted advertising or sale. To exercise these rights, contact us using the information in Section 12. We will respond as required by applicable state law.


9.Our services are directed to applicants pursuing graduate, medical, and law school admission and are not intended for children under 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us and we will take appropriate steps to delete it.


10. GradMissions is based in the United States, and information you provide is processed and stored here. If you are accessing our services from outside the United States, you understand that your information will be transferred to, processed in, and stored in the United States, where data protection laws may differ from those in your jurisdiction.


11. We may update this Privacy Policy from time to time to reflect changes in our practices, our services, or applicable law. When we make material changes, we will update the “Last Updated” date at the top of this page and, where appropriate, provide additional notice. We encourage you to review this Policy periodically.
